Photos from the Recovery Process
Sometimes finding a lost item is only the beginning of the process.
This story began when Robert contacted us after his mobile phone had been found at the Istanbul Airport Lost & Found Office. Robert was no longer in Turkey, but one of his colleagues was staying at a hotel in Galata and would be travelling to his hometown the following morning.
The timing was critical.
His colleague was due to leave the hotel at 7:00 AM. The phone therefore had to be collected from Istanbul Airport, released through the required authorization and customs procedures, transported across the city and delivered to the hotel before she departed.
At first, the request appeared straightforward: collect a lost phone from Istanbul Airport and deliver it to a hotel in Galata.
Within a short time, however, the case became a complex and time-sensitive operation involving authorization documents, airport customer service, customs approval and several hours of waiting.
A Time-Sensitive Request
Robert contacted us in English and explained that his phone was waiting at the iGA Lost & Found Office at Istanbul Airport. He provided the lost property details, a copy of his passport and the authorization form required by the airport.
We immediately assigned a courier and began organizing the same-day Istanbul Airport lost property pickup.
The original plan was simple. Our courier would travel to the airport, collect the phone and deliver it to Robert's colleague at her hotel in Galata.
The distance between Istanbul Airport and the hotel was approximately 46 kilometres. Under normal conditions, the collection and hotel delivery could have been completed within a few hours.
However, the airport documents first had to be approved.
A Small Document Error Created a Major Delay
When our courier arrived at Istanbul Airport, the Lost & Found staff informed him that the authorization documents were not ready for approval.
The authorization form had been completed by hand in red ink. The airport required the relevant information to be entered in the correct format and in a standard black or blue colour.
The form also needed to clearly identify the authorized representative who would collect the phone. In addition, the required personal data protection form had to be submitted together with the corrected authorization document.
These may appear to be small details, but Istanbul Airport Lost & Found procedures are strict. An incorrectly completed field, an unsuitable signature or a missing attachment can delay the release of a lost item.
Under normal circumstances, the document review process could take between 12 and 24 hours.
In Robert's case, waiting until the following day was not a realistic option. His colleague was leaving the hotel early in the morning, and the opportunity to return the phone would have been lost.
While our courier remained at the airport, we stayed in continuous contact with Robert. We explained exactly which parts of the authorization form needed to be corrected, how the representative's information should be entered and how both forms needed to be attached to the email.
Robert corrected the documents and sent them again.
Working with Airport Staff to Accelerate the Process
Submitting the corrected documents was only the next step.
Because the Lost & Found Office was busy, the application could still have remained in the standard review queue for many hours. Robert was outside Turkey and was having difficulty reaching airport customer service by telephone.
Our courier therefore spoke directly with the airport staff, explained the urgency and asked whether they could help accelerate the process.
One member of staff was especially helpful. She contacted customer service on Robert's behalf and assisted in moving the application forward.
Our courier did much more than simply arrive and wait for a package. He continued speaking with the relevant personnel, checking whether the corrected documents had been received and asking for updates whenever the process appeared to stop.
At one point, after spending hours at the airport, he sent us a message saying:
I may be sleeping here tonight.
His normal working hours had already ended. The process had continued into the evening, but he did not want to leave the airport and return without the phone.
We had reached the final stages, and everyone involved was working to find a solution before the deadline.
Customs Approval and the Long Wait
Eventually, the corrected authorization documents were accepted.
The case then moved to customs review.
Because the lost phone was under customs control, the courier could not simply collect it from the Lost & Found counter. Customs approval was required before the item could be released.
After another period of waiting, we finally received the news we had been hoping for:
Customs approval had been granted.
However, the phone still had to be brought from the secured storage area to the handover point. The staff initially said that this stage would take approximately 20 minutes.
It took much longer than expected.
Our courier remained at the airport and continued requesting updates. His phone battery was running low, his working hours had long since ended and the delivery to Galata still had to be completed.
The active waiting period at the airport alone reached approximately three hours and ten minutes. The full operation, including the document corrections, approval process, customs procedure, airport collection and delivery arrangements, lasted around six hours.
Despite the delays, the courier stayed until the phone was physically released.
Finally, the lost phone was handed over.
A Late-Night Journey from Istanbul Airport to Galata
Collecting the phone was a major success, but the service was not yet complete.
Robert's colleague was still waiting at the hotel in Galata, and she would be leaving for her flight early the following morning.
It was already late at night.
Our courier left Istanbul Airport and began the approximately 46-kilometre journey to Galata. Throughout the drive, we continued updating Robert so that he always knew the current status.
The original same-day courier request had turned into an urgent late-night Istanbul delivery. What should have been a short airport collection required document guidance, repeated communication with airport staff, customs approval, extended waiting and an overnight journey across the city.
Shortly after midnight, the phone arrived at the hotel.
Robert's colleague received it safely, ensuring that she could take it with her when she departed the following morning.
The case had been completed before the deadline.
More Than a Standard Courier Service
This operation involved much more than carrying a phone from Istanbul Airport to a hotel.
During the process, we:
- Guided an international customer through the airport authorization requirements.
- Helped correct an unsuitable authorization form.
- Confirmed the required representative information.
- Coordinated the resubmission of the authorization and data protection documents.
- Communicated with Istanbul Airport Lost & Found personnel.
- Requested assistance to accelerate the approval process.
- Followed the customs review.
- Waited at the airport for several hours.
- Collected the phone after customs approval.
- Completed a late-night delivery from Istanbul Airport to Galata.
- Kept the customer informed throughout every stage.
The courier could have left when his normal working hours ended.
Instead, he remained at the airport because leaving would have meant losing the opportunity to return the phone before Robert's colleague departed.
That decision made the successful delivery possible.
Robert's Google Review
After the phone was safely delivered, Robert left the following five-star review on Google:
Robert, Netherlands View the Original Google ReviewI had lost my phone at the airport but knew that a friend would be flying to my hometown. So my phone needed to get from the lost&found to the hotel were my friend was staying. I just randomly called this service. What a great service! They did a lot more than could be expected and guided me through the whole bureaucratie process of getting my phone back. The didn't give up and kept me informed. It's services like this that give you back faith in mankind!
Why This Case Meant More Than a Delivery
For us, Robert's review represents more than a completed courier job.
It reflects the importance of staying involved when a procedure becomes more difficult than expected.
A standard courier may transport an item after it has already been released. In this case, the work began much earlier. It involved explaining airport authorization requirements, helping correct the documents, communicating with staff, following customs approval and remaining on-site until the item was finally handed over.
The phone was not simply transported.
It was recovered through persistence, communication and cooperation.
Sometimes an Istanbul Airport courier service is not only about distance or speed. Sometimes it means refusing to give up when an international traveller has no other practical way to recover an important personal item.
That is what this customer story represents.
